Effective Meeting Facilitation

Effective meeting facilitation is the conscious, thoughtful, and professional conducting of meetings, aimed at maximizing the potential of participants, achieving assumed goals, and creating space for a constructive exchange of thoughts and problem-solving. Meeting facilitation is not only moderating a discussion, but also skillfully shaping group dynamics, engaging all participants, and maintaining an appropriate pace of work.

Key features of effective facilitation:

Step 1:
Preparation
  • Define the goal of the meeting and prepare a detailed agenda.
  • Provide participants with information before the meeting so they can prepare
  • If you have expectations regarding the participants’ contribution to the meeting, define what you need from them BEFORE the meeting.
Step 2:
Setting the rules
  • Establish rules for discussion and participants’ roles.
  • Explain how interaction and time management will proceed.
Step 3:
Activating participants
  • Start the meeting with a short activation (e.g., an energizer).
  • Encourage participation by asking open-ended questions.
  • Use diverse methods: open-ended questions, brainstorming, group work.
  • Also encourage people who are usually silent to participate.
Step 4:
Moderating the discussion
    • Keep the focus on the topic, keep track of time, and ensure that everyone has a chance to speak.
    • In case of conflicts, mediate and help find common solutions.
    • Maintain impartiality, allowing for a free exchange of views.
    • “Park” topics that are not related to the goal of this meeting.
Step 5:
Summary and follow-up actions
  • Summarize key findings at the end of the meeting.
  • Define concrete steps, assign responsibilities, and deadlines for implementation.
  • Regularly monitor progress.
