IDOARRT Meeting Design

The IDOARRT approach allows the meeting facilitator to structure the meeting according to the following pattern:

  1. Intent and purpose of the meeting – Why do you want to meet with them? [I – intentions]
  2. Expected outcomes – What do you want to develop, achieve, or accomplish during the meeting? [DO – desired outcomes]
  3. Meeting agenda – What will the meeting look like, step by step? What key topics will you cover? [A – agenda]
  4. Meeting participants and their roles – Who will participate, why, and in what role? [R – roles]
  5. Meeting values ​​and rules – How will we collaborate during the meeting? What will make us work together better? [R – rules]
  6. Time – How long will the meeting last? When are the scheduled breaks? [T – times]

These are aspects and questions that, as a facilitator, you should organize in your head, present to the participants, and then lead the meeting based on them.

You don’t need to describe each of the six points in the invitation or introductory email for every meeting. However, remember to include each of them, as you should address the purpose and roles of participants at the beginning of the meeting. This will make the meeting more effective and ensure participants are engaged.

Answer the question: why do you want to meet with them? [I – Intention]

2. Desired outcomes

What do you want to work out, achieve, or do at the meeting? [DO – Desired Outcome]

3. Meeting agenda

What will the meeting look like step by step? What key topics will you cover? [A – Agenda]

4. Meeting participants and their roles

Who will participate in the meeting, why, and in what role? [R – Roles]

5. Meeting values and rules

How will we collaborate at the meeting? What will make us collaborate better? [R – rules]

6. Time
How long will the meeting last? When are the breaks scheduled? [T – Times]
