Specify what you mean
Your message must be precise, therefore:
- try to use precise language;
- refer only to facts;
- talk about behavior, not its interpretation;
- do not judge;
- try to control your own emotions.
Positive aspects of action
Start with the positive aspects that you want to convey to the employee. This will reduce the feeling of stress and improve the comfort of the conversation. Find 3-4 positive behaviors. Try to make them authentic and not exaggerated.
Say: “I liked it”, “You did well…”
Negative aspects of action
Effectively conveying constructive negative feedback is important for development. However, conveying such messages is difficult for both the employee and the boss. Despite this, name negative behaviors without softening them. Point out a maximum of 3 negatives, because it is impossible to work on more at the same time.
Consequences of behaviors
In this step, you must indicate the consequences of negative behaviors.
You can say:
- The effect was such;
- What you said caused.
Alternatives
At the end of the conversation, discuss alternative solutions to the task. Of course, still maintaining a focus on facts, without personal judgments.
Say:
- I suggest;
- Better;
- Next time.
